Mailbox and Post Replacement

Purpose:

This architectural guidance is to ensure uniformity to the aesthetics within the community while providing guidelines for mailbox and mailbox post design & color selection. The information contained herein is to inform unit owners of the specifications and criteria that is considered when a request is made to the Association’s Architectural Review Committee (“ARC”)

 

  • Mailbox:

    • Color:

      • The color of the mailbox shall be black, ensuring consistency and a timeless appearance throughout the community.

    • Size:

      • The mailbox dimensions shall be as follows:

        • Height: 10.8”

        • Width: 8.7”

        • Depth: 22.5”

    • Design guidelines:

      • Simple and classic, accommodating standard mail and package deliveries.

  • Mailbox Post:

    • Color(s):

      • Single Mailbox Post:

        • The color of the post that supports a single mailbox shall be chosen based on the trim color of the respective house/dwelling or white that closely matches the white trim and other mailbox posts throughout the Community. The color originally utilized by the developer was Sherwin Williams color: SW 7006, Extra White

      • Shared Mailbox Post (Utilized by Two (2) Units):

        • The color of the post that is shared by two (2) unit owners must be painted white that closely matches the original installed white color. The color originally utilized by the developer was Sherwin Williams color: SW 7006, Extra White

  • Installation:

    • Mailboxes and mailbox posts must be installed at a uniform height to ensure consistency and ease of access for postal workers.

    • The United States Postal Service (USPS.COM) provides mailbox height specifications.

    • For our Association, the mailbox height must meet the USPS standards and the height of neighboring mailboxes.

  • Maintenance/Repair:

    • Unit Owners are responsible for the regular maintenance and upkeep of their mailbox and mailbox post, ensuring they remain in good condition and are free from rust, damage, or deterioration.

    • If repairs are needed, unit owners must ensure that the mailbox and post adhere to the standard design and color requirements.

      • Unit owners may repair their mailbox and mailbox post without ARC approval if the repair results in a mailbox and mailbox post that is visually identical to the mailbox and mailbox post that was installed by the Community Developer or was previously approved through an ARC request.

    • If repairs are needed to a shared mailbox post, the community manager may be contacted to facilitate the repair between the unit owners.

  • Replacement:

    • If a unit owner resolves to replace the mailbox and/or mailbox post, the replacement must adhere to the standard design and color requirements of this architectural guidance.

    • If a replacement is needed for a shared mailbox post, the community manager may be contacted to facilitate the replacement between the unit owners.

    • Before the installation of a replacement mailbox and mailbox post, unit owners must submit a request to the Architectural Review Committee (“ARC”) for approval unless the replacement will be identical to the current mailbox and mailbox post.

    • Examples of replacements are as follows:

      • Single Mailbox & Post:

        • Note: There may be other suitable replacements with other vendors and the item listed above is not an exclusive replacement.

      • Shared Mailbox Post:

        • Wayfair.com, SKU: NEFI1002, is an example of a suitable mailbox and post replacement. See image below.

        • Note: There may be other suitable replacements with other vendors and the item listed above is not an exclusive replacement.

  • Approval Process:

    • Before the installation of a replacement mailbox and mailbox post, unit owners must submit a request to the Architectural Review Committee (“ARC”) for approval unless the replacement will be identical to the current mailbox and mailbox post.

    • The request should include:

      • Description of the mailbox and post, including dimensions.

      • Sample or photo of the trim color or the white color for the post.

      • Any additional design elements or modifications.

    • The ARC will review the request to ensure it aligns with the mailbox standard. Unit owners will be notified of the approval or rejection (with recommended adjustments.)

  • Non-Compliance:

    • Non-compliance with the mailbox standard will result in a violation notice from the HOA. Unit Owners will be given a reasonable period to rectify the issue and bring their mailbox and post into compliance. Failure to comply may result in further actions as outlined in the Association’s governing documents.
